Terms & Conditions

These terms govern every booking made with R&H WildQuest Tours & Travel ("we", "us", "R&H WildQuest"). Placing a booking means you accept them on behalf of everyone travelling in your party.

1. Booking and confirmation

A booking is a request until we confirm it in writing. We confirm by e-mail once your deposit has cleared and the relevant lodges, permits and transport are secured. Prices quoted before confirmation are indicative and subject to availability.

2. Payment

  • A deposit of 30% of the trip total is payable to secure your dates.
  • The balance is due 30 days before departure. We will e-mail a reminder and a payment link.
  • Bookings made within 30 days of departure are payable in full at the time of booking.
  • All prices on this website are in US dollars (USD). Card and mobile-money payments are processed by Pesapal; PayPal is available on request.
  • Gorilla and chimpanzee trekking permits must be paid in full at the time of booking, as required by the relevant wildlife authority.

3. Cancellation by you

Cancellations must be sent to us in writing. The following charges apply from the date we receive your notice:

Gorilla and chimpanzee permits are non-refundable once issued, regardless of notice given. This is set by the Uganda Wildlife Authority and the Rwanda Development Board, not by us.

We strongly recommend comprehensive travel insurance that covers cancellation, curtailment and medical repatriation from the first day of booking.

4. Changes by you

Itinerary changes made more than 21 days before departure are free of charge, subject to availability and any difference in cost. Inside 21 days, changes are treated as a cancellation and rebooking.

5. Changes or cancellation by us

Occasionally we have to alter an itinerary — a camp closes, a road washes out, a park changes its rules. Where this happens we will offer the nearest equivalent at no extra cost. If we cancel a trip outright for reasons within our control, you receive a full refund.

We are not liable for changes caused by circumstances beyond our reasonable control, including weather, civil unrest, epidemic, strike action, airline schedule changes or government directive.

6. What your price includes

Each package page lists inclusions and exclusions in full. Unless stated otherwise, prices exclude international flights, visas and entry permits, travel insurance, tips, drinks, laundry, and items of a personal nature.

7. Travel documents, health and entry

You are responsible for holding a valid passport (at least six months' validity beyond your return date), the correct visas or electronic travel authorisations, and any required vaccination certificates. We will advise, but we cannot obtain these on your behalf and we cannot refund a trip missed because of incomplete documents.

8. Safety and conduct on safari

Your guide's instructions are not advisory. Wildlife is wild; leaving the vehicle, feeding animals or ignoring a guide's direction endangers you, your party and the animals. We reserve the right to end a trip, without refund, where a traveller's behaviour puts others at risk.

Gorilla trekking carries a minimum age of 15, set by the park authorities.

9. Liability

We act as an operator and, where relevant, as an agent for lodges, camps, airlines and other suppliers. We accept liability for our own negligence and that of our employees. Our liability for any claim is limited to the amount you paid us for the trip, except where the law does not allow such a limit.

Every booking includes flying-doctor emergency evacuation cover within our operating areas. This is emergency evacuation only and is not a substitute for travel insurance.

10. Complaints

If something is wrong, tell your guide at the time — most issues can be fixed on the spot. If it cannot be resolved during the trip, write to info@rhwildquesttours.com within 28 days of your return and we will respond within 14 days.

11. Data protection

We handle your personal data as described in our Privacy Policy. We never sell your details.

12. Governing law

These terms are governed by the laws of Kenya, and any dispute falls to the exclusive jurisdiction of the Kenyan courts.
